How to Hide Attendee Identities from other attendees?

The Hide Attendee Identities setting helps you protect your attendees’ privacy and prevent user harassment and unauthorised collection of personally identifiable amongst attendees during your event. With this setting enabled, true identities of logged in attendees are anonymised for other attendees and only accessible to the organiser.

Please note that this setting is only available for Chat, Q&A, Multiple Choice and Open-ended Poll sessions. You may also select which interfaces (Audience Web App, Projector Panel, and Moderator Panel) you would like to enable the Hide Attendee Identities setting for. 

How to enable the Hide Attendee Identities setting?

1. On your Workspace, go to More settings > Attendees> Profile information. Please make sure that the setting Allow attendees to create profiles is enabled. 

Note: The Hide Attendees Identities setting can only be enabled when Allow attendees to create profiles is enabled. 

2. On the same page, scroll down the Hide Attendee Identities section and enable the Hide Attendees Identities setting. Please remember to save your settings. 

3. After enabling the setting, you can customise the Attendee Display Name and the panels you would like to enable this setting for.

By default, all of your attendees' display names will be shown as ‘Participant’ followed by a random 6 digit ID in Chat, Q&A, and Open-ended poll sessions. You can customise this to any other display name as you see fit. All attendees will share the same attendee display name. 

4. There are 3 panels you can choose to hide attendee profiles from other attendees  - Audience Web App, Projector Panel and Moderator Panel. All panels are enabled by default. You can choose to disable any of the panel(s). At least one panel must be selected when the setting is enabled.

Remember to save your settings once done.

Note: For panels that are not selected, attendees’ real profile names will be displayed on the respective panel. 

5. Once your event is live (i.e. it is past the start time that you have set for your Pigeonhole) this setting cannot be disabled. You may only make changes to the default Attendee Display Name thereafter.

If you did not enable Hide Attendee Identities, you can still enable it after the event goes live. However, all panels will be selected by default and you will not be able to unselect any panel. You will still be able to edit the Attendee Display Name.

Note: As Hide Attendee Identities is a Pigeonhole-wide setting, the setting will be applied to all sessions within the Pigeonhole. We recommend having a separate Pigeonhole for sessions you do not want Hide Attendee Identities enabled for.

How does the Hide Attendee Details setting affect the different panels and sessions?

When Hide Attendee Identities setting is enabled, the attendee display name shown in the Audience Web App, Moderator Panel, and Projector Panel is ‘Participant’ or any other generic name that you have configured.

Here’s a breakdown of sessions and panels involved when Hide Attendee Identities setting is enabled:

Note: For all session types, true attendee profiles and identities will always be visible on the Admin Panel and event Insights in the Workspace, while the Hide Attendee Setting is enabled. 

However, if anonymous responses is enabled and an attendee chooses to submit their responses anonymously, you will not be able to track the true attendee profile on the Admin Panel or Insights.

Audience Web App

When Hide Attendee Identities setting is enabled, attendees will be informed that their profiles are hidden from other attendees and will only be visible to the organiser.

There are 4 main settings you should take note of when running your event with Hide Attendee Details setting enabled:

1. Anonymous responses/messages

How to find the setting? 

1. On your Workspace, go to Agenda and select a specific session [i.e. Chat, Q&A, Multiple Choice Poll, Open-ended Poll]. 

2. Under the session settings, you will find the option for Anonymous responses/messages. 

Note: This setting can be used to complement the Hide Attendee Identities setting.

How it works?

When anonymous responses/messages are enabled, attendees have the option to submit a response anonymously or with their profiles. 

If the attendee chooses to remain anonymous, even the event admin/organiser will not be able to view their true attendee profile. The responses submitted by an anonymous attendee will be reflected on the Audience Web App with Anonymous as the display name.

Note: ‘Anonymous responses’ are enabled by default for all sessions except Chat.

2. Allow attendees to create profiles

How to find the setting? 

1. On your Workspace, go to More Setting> Attendee. 

2. Under Profile information you will find the setting: Allow attendees to create profiles. This setting is enabled by default when you create a Pigeonhole. 

Note: This setting needs to be enabled for Hide Attendee Identities to be enabled. 

How it works?

When this setting is enabled, attendees will need to create a profile but their display name will be shown as ‘Participant’ once Hide Attendee Identities is enabled. 

3. Enable registrant profiles 

How to find the setting? 

1. On your Workspace, go to More Setting> Attendee. 

2. Under Registrant Profiles you will find the setting: Enable registrant profile.

This setting is disabled by default when you create a Pigeonhole. 

Note: This setting can be used alongside Hide Attendee Identities.

4. Chat Mentions

How to find the setting? 

1. On your Workspace, go to More Setting> Chat. 

2. Under the Mentions section, you will find the setting Allow attendees to mention each other in Chat using @name. This setting is disabled by default.

Note: If this setting is enabled, Hide Attendee Identities cannot be enabled and vice versa. 

How it works?

When enabled, your attendees can mention each other by name in messages by using @name, to get their attention. However, when Hide Attendee Identities is enabled, attendees will not be able to see each other’s names and mention each other. Hence, the settings are at conflict and you may only use either setting at one time.
