Workspaces

In Pigeonhole Live, workspaces are where you build, organize, and manage your interactive sessions. Different workspaces can hold different sets of Pigeonholes, data, and access permissions, allowing you to easily separate different business units, clients, or projects. By switching between workspaces, you can seamlessly transition from private spaces to shared team environments.

  • Personal Workspace: When you sign up for Pigeonhole Live, you will work in a Workspace—a control centre where you build, organize, and manage your own Pigeonholes. A Personal Workspace is a Basic (free) Workspace.
  • Joining a Team/Organisation: When an organisation Administrator invites you to a Workspace or provisions your account through automated directory syncing (SCIM/SSO), that workspace is added to your profile as a separate option in your Workspace list. The Organisation Workspace (Team Workspace for legacy accounts) is additional to your Personal Workspace. This is where you collaborate with team members.

Navigating workspaces

If you’re part of an organisation, Pigeonhole Live automatically drops you into the last Team Workspace you were using whenever you log back in. If you want to work with a Pigeonhole separately, you will just need to manually switch back to your Personal Workspace. Use the Workspace drop-down menu in the top-left corner of the Dashboard. Your private assets remain safely in your Personal Workspace, completely separated from the collaborative data within your corporate Workspaces.

The Workspace menu displays all the workspaces in your account. The total number of Organisation Workspaces in your account and the number of Pigeonholes in each Workspace also display.

For users with more than eight Workspaces, a search box appears in the top-left menu. Use this search box to find workspaces by one or more keywords in the name.

Create a Basic Workspace

Multiple workspaces help you organise different projects, teams, or clients independently. Arranging work in this way keeps your sessions, data, and access separate.

Follow these steps to create a Basic Workspace: 

  1. Select the name of the current Workspace at the top-left corner of the Dashboard. This action opens the Workspace menu.
  2. Select the Add workspace icon (+) next to the header WORKSPACES.
  3. In the dialog box that opens, enter the name you want to use for the Workspace and select Create workspace.

You automatically switch to your new workspace once it is created.

Rename a Workspace

Modifying the name of a Workspace can help you find the Workspace you’re looking for faster. 

  • Basic workspaces: Can only be renamed by the Owner.
  • Organisation workspaces: Can only be renamed by a Lead or Owner.

Follow these steps to rename a Workspace:

  1. If you have more than one Workspace, make sure you’re inside the Workspace that you want to change.
  2. Under the name of the Workspace in the Workspace menu, select Workplace settings

  3. Select the General tab in the left sidebar of the Workspace Settings
  4. Enter the name you want to use in the Workspace Name field.
  5. Select Save.

Delete a Workspace

Deleting unused or completed workspaces keeps your dashboard clutter-free and ensures your team only interacts with active projects. By removing old workspaces, you simplify navigation, protect data privacy by retiring old session records, and make it easier to find the active environments you need. 

You must be the Workspace Owner. A Workspace that contains One-time Pigeonholes or other paid items cannot be deleted. 

Important: Deleting a Workspace is a permanent, irreversible action. This step immediately removes all Pigeonholes, data, and user access.

Follow these steps to delete a Workspace: 

  1. If you have more than one Workspace, make sure you’re inside the Workspace that you want to change.
  2. Under the name of the Workspace in the Workspace menu, select Workplace settings
  3. Select the General tab in the left sidebar of the Workspace Settings
  4. Select Delete workspace.

  5. Review the warning in the dialog box that opens. To confirm deletion, enter the name of the Workspace and select Delete workspace.

The Workspace, all of its Pigeonholes, and all associated data are permanently deleted. You will automatically be redirected to another active Workspace or prompted to create a new one. Any other users currently in the Workspace will immediately receive a permissions error message and lose access. They will be moved to their most-recently-used Workspace. If they have no other workspaces, they’re prompted to create one.

Transfer a Pigeonhole to a different Workspace

Transferring a Pigeonhole in a Basic Workspace to an Organisation Workspace lets you build and test it privately in a Basic Workspace first, then seamlessly move it over for team collaboration when ready.

Important: Transferring a Pigeonhole from a Basic Workspace to an Organisation Workspace cannot be undone.

Follow these steps to transfer a Pigeonhole:

  1. From within the destination Organisation Workspace, select Add Pigeonhole > Transfer.

  2. In the dialog box that opens, select the Pigeonhole to transfer to the current Workspace.
  3. Select Transfer.

Update Workspace Settings 

An Owner, Lead, or Organisation Admin can modify Workspace settings to provide greater control over the user experience.

If there is more than one Workspace, you must be inside the Workspace that you want to change. Then, under the name of the Workspace in the Workspace menu, select Workplace settings
