Manage a Workspace

This article shows Workspaces Owners how to add and remove Workspace members, edit a Workspace, and delete a Workspace.

Add a Workspace member

As a Workspace owner, you can easily invite new members to join your shared environment. Workspaces are limited to a maximum of 25 members, including the owner. If you need more seats, please contact our Sales team to explore our Enterprise plans.

Follow these steps to invite a new member to a Workspace:

  1. Confirm that you are inside the Workspace to which you want to add the member.
  2. From the top-left corner of the Dashboard, select the Workspace menu > Workspace Settings.

  3. Select General from the sidebar.
  4. Under Users, select Invite users.

  5. In the dialog box that opens, enter one or more email addresses and select Invite.

    Tip: The number of additional members you can invite displays below the Email field. Separate email addresses with commas.

  6. An email invite with a link for joining the Workspace is sent to the specified email addresses. A notification displays at the top right and the specified email addresses display in the member list. The text “Invitation sent” displays under the roles associated with the email addresses (“Member”).

  7. The recipients get an email saying they are invited to join a Workspace on Pigeonhole Live. They select the link to join and are taken to the Pigeonhole Live website, where they are prompted to create an account or log in.

    After creating an account or logging in, they enter the Workspace.

Re-invite a Workspace member

To resend an invite to a pending member:

  1. Go to the General tab of the Workspace Settings
  2. Under Users, find the user in the list and select Resend? next to “Invitation sent”.

The invite is sent again and a confirmation popup appears on the Dashboard.

Change permissions for a Workspace member

  1. Go to the General tab of the Workspace Settings
  2. Under Users, find the user in the list. Select the drop-down arrow next to their current role, then select the new role. The options are: 
    1. Member
    2. Owner
    3. Lead

  3. Review the message in the dialog box that opens and select the button to confirm.

Remove a Workspace member

The Workspace owner can delete a Workspace member. Note that all of the member's Pigeonholes will be deleted. For plans that include both personal and team spaces, this includes Pigeonholes in the member's personal space.

  1. Go to the General tab of the Workspace Settings
  2. Select Remove next to the member.

  3. In the popup that opens, select Remove to confirm the action.

The user no longer has access to the Workspace.

For a user who belongs to an organisation:

  • If they are inside the Workspace at the time they are removed, a permission error displays and they are prompted to return to the home screen.
  • A notification that they have been removed from the Workspace is available from the home screen.
  • If they have no other Workspaces, the message “No Workspaces found. Contact your organisation admin to be assigned to a workspace.” displays on the home screen.

For a user who does not belong to an organisation:

  • If they have other Workspaces, they are moved to the most-recently-used Workspace.
  • If they do not have another Workspace, they are prompted to create one.

All users who are removed from a Workspace receive an email notification.

Edit a Workspace

The Workspace owner may edit the name of the Workspace and the company it is associated with. 

  1. From the Workspace Settings page, select General in the sidebar.
  2. Update the Workspace Name or Company as needed.
  3. The Save button displays after you enter an update. Select Save.

Manage billing and invoices for a Workspace

You can change the billing plan and view invoices for a Workspace you own. These actions are available from the Plan and billing area of the Workspace Settings.

Delete a Workspace

The Workspace owner may delete a Workspace, even if members still belong to it.

  1. From the Workspace Settings page, select General in the sidebar.
  2. Select Delete workspace.
  3. To confirm, enter the name of the Workspace in the dialog box that opens and select Delete workspace

For a user who belongs to an organisation:

  • If they are inside the Workspace at the time it is deleted, a permission error displays and they are prompted to return to the home screen.
  • A notification that the Workspace was deleted is available from the home screen.
  • If they have no other Workspaces, the message “No Workspaces. found Contact your organisation admin to be assigned to a workspace.” displays on the home screen. 

For a user who does not belong to an organisation:

  • If they have another Workspace, they are redirected to that Workspace.
  • If they do not have another Workspace, they are prompted to create one.

All members of a Workspace that is deleted receive an email notification.
