Speaker Collaboration mode allows Event Organisers to give access to speakers without a Pigeonhole Live account, which enables them to create their polls and quizzes for an event as Speaker Collaborators.
This feature is designed to alleviate the workload and coordination burden of event organisers and audio-visual teams. An event may have many sessions, with speakers for each session. These speakers may wish to also include multiple polls for their sessions. Without Speaker Collaboration, an event organiser would need to painstakingly set up interactivities for each speaker (possibly creating and coordinating hundreds of sessions), and audio-visual teams would need to work separately projecting the speakers’ polls during their presentations.
With Speaker Collaboration, this is no longer required. Speakers are then empowered with greater control over their interactivities, and alleviates the workload of event organisers.
How to enable speaker collaboration mode?
To enable speakers without Pigeonhole Live accounts to begin accessing assigned sessions, the following pre-requisites have to be met:
- The speaker profile must have an email address.
- Speakers will need to be assigned to a Parent session as a Speaker (not a Moderator.) Those added to a nested session will not be granted collaborator access.
- In the Speaker tab, Enable collaboration toggle is ON.
- Speaker Collaborator accesses the assigned sessions on presentation apps like PowerPoint.
Create a Speaker Profile with email address
You will need to create Speaker Profiles on Agenda > Speakers, and ensure that you have filled in the email address for a Speaker Collaborator.
Click Edit on a speaker you would like to give collaboration access to and fill in the email address. Click Save.
Note: This is the email address that the Speaker Collaborator will use to login to manage and create the interactivities.
Assign Speakers to a Parent session
On Agenda > Sessions, click Edit on the parent session that you want your speaker to collaborate on.
On the session edit page, click on Speaker to select a speaker or moderator.
Click on Add Speaker to assign your desired speaker with the Speaker role.
Note: Only those assigned as a Speaker role would be able to collaborate. Those assigned as a Moderator would not be able to manage interactivities.
Select your desired speaker and then click Select speaker.
The selected speaker appears on the session page.
Click Save
Enable Speaker Collaboration mode
On the Agenda page, click on the Speakers tab to view the speakers and their associated event sessions. Speakers assigned as a Speaker role will have a Speaker tag next to the session name for easy reference.
In the same tab, you will see a toggle for Enable collaboration. When this toggle is enabled, it grants collaboration access to any speakers with an email assigned to a session. Speaker Collaborators who have collaboration access will have a collaboration icon next to their name.
Disabling the toggle will revoke collaboration access and speakers will not be able to view or manage these sessions further. Organisers can confirm this by checking if the collaboration icon is displayed for a speaker.
Sharing collaboration details with Speakers
Once collaboration mode has been set up and all conditions are met, Speaker Collaborators will have access to collaborate on sessions, but it does not trigger an alert to them. This is so that Event Organisers can freely manage their sessions and Speaker Collaborators without triggering multiple emails while Organisers are managing the Pigeonhole.
Event Organisers need to inform Speaker Collaborators on how they can manage their assigned Pigeonhole session(s). The suggested next steps for Speaker Collaborators are as follows:
- Depending on which presentation app they are using, to install the Pigeonhole Live add-ins for Powerpoint or the Google Slide add-on
- For Speaker without existing Pigeonhole Live account: Click ‘Invited to Collaborate as a Speaker’ and enter the email address associated with their Speaker Profile
- Speaker will receive an email with a collaboration code
- Enter the collaboration code, and the Speaker will be redirected to the session(s) they were invited to
- Speakers can then start adding and managing the interactivities for their assigned session. They will also be able to add these interactivities as presentation slides.
Access Duration and revoking Speaker access to a session
The Enable collaboration toggle can be enabled or disabled at any time depending on the setup preference of the Event Organiser. For events where it's desirable to give collaboration access to all the speakers only once their details and session assignments have been confirmed, the Event Organiser can enable collaboration as the last step.
A Speaker’s access lasts for up to 7 days after the end of the Pigeonhole. They can thus go to the presentation and view any collected responses even after the event has ended.
Speaker Collaborators would not be able to view or manage the session after this period, or when their access is revoked.
If an Organiser needs to remove access permissions for a Speaker, they can:
- Remove the Speaker’s profile from the session entirely, which removes the Speaker from the list of speakers for an event
- Remove the speaker’s assignment to any sessions
- Remove the Speaker’s email address but keep the Speaker assigned to a parent session as a Speaker role. This allows the Speaker to remain visible on the Audience Web App.
If an Organiser needs to revoke access for all collaborators, they can:
- Disable the collaboration toggle. This removes access for all speaker-collaborators.
